Playbook Pal Privacy Policy
This Privacy Policy explains how Playbook Pal collects, uses, stores, and discloses information when you use the Playbook Pal website, the Playbook Pal app, and related services. Playbook Pal is operated under the Playbook Pal product name by an individual. This policy applies to account holders, including coaches and other members of a Team's staff, and to anyone who views content through a share link.
Playbook Pal is built for private sports planning and collaboration. Team content is visible only to the coaches on that Team, unless a coach chooses to share a Practice Plan, Notebook Page, Play, or Drill by link, as described in Section 3. Playbook Pal does not publish team or athlete information in any public directory or feed.
1 Information We Collect
Account and contact information
When you create an account, we collect your first and last name, your email address, and the authentication information needed to sign you in. We also collect information you choose to provide when you contact us for support or privacy questions.
Content created in Playbook Pal
We store information that coaches create in the app, including plays, drills, practice plans, lineups, rosters, Notebook Pages, entries, comments and @mentions, drawings, links, embedded videos, and team information.
Roster information
Coaches may add players to a team roster with a first and last name, jersey number, positions, and whether the player is available. For a player under age 13, coaches must enter only the player's first name and last initial, or first initial and last name. Playbook Pal is not designed to collect sensitive information about players, and users must not enter a child's phone number, home address, precise location, age, date of birth, medical information, or similar sensitive information.
Payments
Playbook Pal is currently free and does not collect payment information. If we offer paid features in the future, we will update this policy before we collect any payment or purchase information.
Push notifications
If you turn on notifications, we store a push token for each device or browser where you allow them, along with your notification settings. We use the token only to send you Playbook Pal notifications, such as when another coach @mentions you or there is new activity on your Team. Notifications are delivered through Apple's push notification service on Apple devices, or through your browser's push service on the web. You can turn notifications off in the app or in your device or browser settings.
Error diagnostics
When saving or syncing fails, the app records the error so we can find and fix the problem. A record holds the error's code and message, internal IDs for the item and Team involved, your app version and device type, and when and how often the error happened. Records are linked to your account. They never include what you write in Playbook Pal, and email addresses, sign-in tokens and web addresses are removed before a record is stored. The app keeps records on your device and uploads them to our database, where we use them only to troubleshoot and maintain the service.
Usage analytics
We use a product analytics service to understand how Playbook Pal is used, so we can improve it. In the app, we record actions such as signing in, creating a Team, Play, or Drill, saving a Practice Plan, or creating a share link, together with counts (for example, how many Plays a Practice Plan cites), the sport, your device type, and your app version. If you answer the welcome question about your sports, we record which sports you chose. We also make screen recordings of app sessions in which all text and everything you type are hidden, so we can see how screens are used without seeing what you write. These records are linked to your account by an internal ID. They never include your name, your email address, or the names or text of anything you or your Team creates. On the Playbook Pal website, we record page visits and clicks, and whether you arrived through a tagged link. On the web, analytics uses cookies or similar browser storage. We do not use analytics for third-party targeted advertising.
Email delivery and technical operations
We use email delivery services to send account, authentication, support, and other service-related emails. We may also email account holders about new features and coaching tips. You can unsubscribe from these product emails at any time using the link in any of them; account and security emails will still be sent. Links in product emails may record when they are clicked, so we can tell which messages are useful. The systems used to host, secure, and deliver Playbook Pal may automatically process basic technical information such as IP address, device or browser type, app version, timestamps, and security or error logs when needed to operate and protect the service. Playbook Pal does not use this information for third-party targeted advertising.
2 How We Use Information
We use information only as reasonably necessary to:
- create and authenticate accounts;
- provide, store, and synchronize the features and content requested by users;
- apply Team membership and access permissions;
- send the notifications you have turned on;
- measure how Playbook Pal is used and improve it;
- send operational emails, send product emails unless you unsubscribe, and respond to support requests;
- protect accounts, prevent misuse, troubleshoot errors, and maintain the service; and
- comply with law and enforce our Terms of Use.
3 How Information Is Disclosed
Playbook Pal does not make app content public by default. We may disclose information only in the following circumstances:
- Within your Team. Content created for a Team is visible to the coaches on that Team. Visibility depends on the permissions assigned in the app.
- Through share links. A coach can create a share link for a Practice Plan or Notebook Page. Anyone with the link can view that Practice Plan or Notebook Page without signing in, until a coach turns the link off. A coach can also share a Play or Drill as a public link. A public link is a copy of the Play or Drill as it was when shared, including its name, sport, diagram, and any notes written on it. It does not show the Team, the coach who shared it, or dates. Anyone with the link can view it without signing in and can save a copy to their own Playbook Pal account. Editing or deleting the original does not change a public link, and coaches cannot turn one off; to have one removed, email privacy@playbookpal.co. Public links ask search engines not to index them, but anyone who has a link can pass it on. Videos and PDFs that a coach creates from a Play, Drill, or Practice Plan are made on the coach's device and are not stored by Playbook Pal. Coaches should not include sensitive information in content they share by link, video, or PDF.
- To service providers. Supabase provides cloud database and authentication services. Apple delivers push notifications to Apple devices, and your browser's push service delivers them on the web. PostHog provides product analytics and processes the usage information described in Section 1. An email delivery provider processes account holders' names, email addresses, and delivery and link-click information to send service-related messages and product emails, and keeps a record of who has unsubscribed. These providers process information to perform services for Playbook Pal and are subject to their own terms and privacy practices.
- For legal and safety reasons. We may preserve or disclose information if reasonably necessary to comply with law, legal process, or a valid government request; enforce our terms; investigate fraud or misuse; or protect the rights, safety, and security of users, Playbook Pal, or others.
- At your direction. We may disclose information when you ask us to or otherwise provide valid consent.
Playbook Pal does not sell personal information. Playbook Pal does not share personal information for cross-context behavioral advertising and does not use app content for third-party advertising.
4 Children and Athlete Information
Playbook Pal is not directed to children under age 13, and children under 13 may not create or use an account. Players appear on a roster that their coaches manage; players do not need an account.
A coach who adds a player to a roster represents that the coach has appropriate authorization from the player's parent or legal guardian, team, or organization to provide and manage that information. Roster information is visible only to the coaches on that Team and is not made publicly available by Playbook Pal unless a coach includes it in content the coach shares by link.
If we learn that a child under 13 created an account, we will take steps to close the account and delete associated personal information, subject to legal, security, and backup requirements. A parent or legal guardian who believes Playbook Pal holds unauthorized or inaccurate information about a child may contact privacy@playbookpal.co to request access, correction, or deletion.
5 Data Storage and Retention
Playbook Pal uses Supabase for cloud database and authentication services. So that the app keeps working without a connection, it also stores a copy of your Team's content on your device and synchronizes changes when you reconnect. We retain account information and app content while needed to provide the service, maintain the applicable Team records, comply with legal obligations, resolve disputes, and protect the service. Retention may also depend on actions taken by the coaches on a Team.
Error diagnostics are deleted 30 days after the error last occurred, and when you delete your account. Public Play and Drill links stay available until the coach who created them deletes their account, or until we remove them. Usage analytics are kept while needed to understand and improve the service.
When information is deleted, limited copies may remain temporarily in backups or security records until those records are overwritten or no longer needed. We may retain information longer when required by law or reasonably necessary to prevent fraud or enforce our agreements.
6 Security
We use reasonable administrative, technical, and organizational measures intended to protect information against unauthorized access, loss, misuse, alteration, or disclosure. No online service or storage system can guarantee absolute security. Users are responsible for protecting their login credentials and promptly notifying us if they suspect unauthorized account access.
7 Your Choices and Privacy Rights
Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of personal information, or to object to or restrict certain processing. You can delete your account at any time in the app, from your Profile, and unsubscribe from product emails using the link in any of them. Deleting your account also removes the public Play and Drill links you created. You may also ask us to assist with an account or privacy request by emailing privacy@playbookpal.co. We may need to verify your identity and authority before completing a request, particularly when the request concerns a player or Team record.
The coaches on a Team can also correct or delete roster and other Team information. If a coach entered information about you or your child, we may refer the request to that Team's coaches when appropriate, while still responding as required by applicable law.
8 No Sale or Targeted Advertising
Playbook Pal does not sell personal information and does not use or disclose personal information for third-party targeted advertising. If these practices ever change, we will update this policy and provide any notice or choices required by law before applying the change.
9 Third Party Services
Supabase, Apple, browser push services, PostHog, YouTube, and the email delivery provider may process information under their own privacy policies when they provide services to Playbook Pal or when you view embedded content. When you view a Practice Plan or Notebook Page that embeds a YouTube video, the video loads from YouTube, which receives your device's request, including your IP address, and may use cookies or similar technologies under Google's privacy policy. Their practices are not controlled by this policy. You should review the privacy terms presented by those providers when applicable.
10 Changes to This Policy
We may update this Privacy Policy as Playbook Pal changes or as legal requirements evolve. We will post the updated version in the app or on the Playbook Pal website and update the date above. If a change materially affects how we use personal information, we will provide additional notice when required by law.
